AI agents for the paperwork your systems can’t read.
Invoices arrive as PDFs. RFQs arrive as emails. Payouts don’t match. We build agents that read the input, check it against your ERP and accounting records, and act only within rules you approve. Anything uncertain goes to a person.
Show us what your team retypesWhere the process breaks.
Rule-based automation stops when the input isn’t structured: a supplier invoice in a new layout, an RFQ written in a customer’s own words, or a payout line with no order reference. Someone then reads it, looks it up and keys it in.
We trace a real transaction with your team, agree which system owns each record and identify the point where work stalls.
Rules first. AI only where reading is needed.
Rule-based automation
Same input, same result, every time. Moving records, applying price and tax rules, posting, syncing and retries. Most of our work is this.
AI-assisted interpretation
For steps a person would otherwise have to read: pulling fields from a document, matching a free-text request to your SKUs, proposing a reconciliation match, or explaining why a record failed. Its output is checked before anything changes.
What we can build.
Each one is scoped around your records, rules and approvals.
Supplier invoice processing
Read the invoice, match it to the purchase order and receipt, and prepare the bill. Mismatches go to the buyer.
RFQ and quotation preparation
Read the request, map each line to your SKUs, apply the customer’s price list and draft the quote for a salesperson to send.
Reconciliation assistance
Propose matches for payouts, fees and refunds that rules could not pair, with the reason for each. Finance approves.
Exception investigation
When a sync or posting fails, gather the related records and logs and write up the likely cause for the person who owns it.
How an agent handles one item.
Receive the input from email, upload, portal or API, with access limited to the systems it needs.
Extract and classify what the document or request says.
Check it against records and rules: PO, SKU, price, tax and totals. If a check fails, nothing changes.
Create or update records only through approved actions. Anything else waits for a person.
Log the input, checks, action and approval.
Where people stay in control.
- You set the approval thresholds.
- Agents draft anything a customer or supplier will see; a person sends it.
- Every action traces back to its input.
- The workflow can be paused and run manually.
- Access is limited to the systems and actions the workflow needs.
At Artisan Manor, an agent runs a validated fulfilment routine from one order number and stops for the team when an order does not fit the rules.
Part of a connected stack.
We start with the systems you already rely on, then recommend changes where the workflow calls for them.
Common questions.
Do agents act on their own?
Only through actions you approve, inside limits you set. Everything else goes to a person.
What happens when the AI reads something wrong?
Validation against your records catches mismatches before anything posts. The item goes to a person with the reason.
Where does our data go?
That depends on the model provider and hosting chosen for your workflow. During scoping we agree which provider is used, what data it receives, how long it is kept and where it runs, and we document that before anything is built.
When should we use rules instead of AI?
Use rules whenever the input and outcome are predictable. Add AI only where the workflow requires interpreting documents, free text or ambiguous exceptions.
